AGOTA- PPIUD Project is implementing Institutionalization of immediate post-partum IUD services in Tanzania. The overall objective of the project is to address the postpartum contraceptive needs of women by training health care providers and institutionalizing the practice of offering immediate postpartum Intra Uterine Device Services (IUD) in key teaching hospitals in Tanzania. This project has been implemented since January 2015and works in 6 regions of Tanzania Mainland including Dar es Salaam, Pwani, Dodoma, Mbeya, Arusha and Mwanza. We are currently looking for suitably qualified candidates to fill the vacancies of Project assistant and Office assistant for the project.
AGOTA –PPIUD Project is hereby inviting applications from suitably qualified candidates for the position of Project assistant and Office assistant to assist in the day to day office activities, administrative work and data issues.

1. Office Assistant
Job Description
•    Assist writing of cheques
•    Daily office upkeep
•    Assisting in maintaining computerized financial data and carrying out regular financial data entry
•    Assist in dealing with financial paper work and filing
•    Assist in preparation of necessary documentation for the annual audit
•    Assist keeping files neat and orderly as needed
•    Assist delivering needed documents/files to respective offices

Any other tasks
•    Undertaking any other duties commensurate with the main objectives of the role as assigned from time to time by the National Project Manager.

Person Specification
The ideal candidate
•    Will have a degree holder/diploma from a recognized Institution
•    Experience with office keeping and secretarial activities
•    At least one year experience in working with professional associations 
•    Good computer skills especial Microsoft word and excel
•    Proficient in English and Kiswahili spoken and written

2. Project Assistant

Job Description
Project administration
•    Supporting the organization in health training (booking venues, liaising with participants to ensure attendance, preparing handouts, preparing attendance lists and sign in sheets etc.)
•    Assist in facilitating the procurement of essential medical equipment and training materials when needed
•    Assist in data keeping, preparation of  presentations and communication
•    Providing all necessary administrative and logistical support to the PPIUD team (to include travel arrangements, booking venues, arranging refreshments, getting documents signed off etc.)
•    Note taking of minutes at meetings/during conference calls and circulating relevant materials in preparation and follow up of meetings

Financial support
Providing assistance to the National Bookkeeper where necessary, including but not limited to:
•    Preparation of requisitions, proof reading of financial documents
•    Preparation and submission of invoices
•    Maintaining financial documentation and filing
•    Preparing the necessary documentation for audits

Data support
Providing support to the National Data Clerk where necessary, including but not limited to:
•    Conducting brief telephone follow-up interviews with women
•    Ensuring adequate supplies in each facility
•    Preparation of basic data and excel spreadsheets
•    Assisting in the preparation of data for presentation at conferences etc.

Any other tasks
•    Undertaking any other duties commensurate with the main objectives of the role as assigned from time to time by the National Project Manager or National Coordinator.

Person Specification
The ideal candidate
•    A basic University degree in any program
•    Will have at least one year experience in working for a project and carrying out administrative support duties
•    Will have excellent interpersonal,  organizational relationship and communication skills
•    Proficient in written and Spoken English and Kiswahili
•    Ability to work with a diverse range of stakeholders and to meet tight deadlines
•    Will have excellent information technology skills – with particular experience using:
o    Microsoft Word – preparing and editing documents, taking minutes etc.
o    Excel – preparing and using basic excel spreadsheets for finance or data purposes
o    PowerPoint – putting together presentations
•    Will have the ability to work independently planning own work and time, exercising autonomy and personal authority as needed.
•    Able to take direction and instruction and contribute to and work as part of a team
